Roles and Responsibilities

Budgeting

  • A sound and comprehensive understanding of the the o0rganisation’s annual budget
  • Undertake budget v spend analysis to input to monthly ‘management accounts’ reports
  • Work closely with other members of the Senior Management Team to produce budget reforecasts on a quarterly basis
  • Engage with budget holders on understanding variance analysis and action to take

Expenditure Accounting

  • Maintain a secure financial system, ensuring scrutiny and analysis of all expenditure (using CRM database NetSuite)
  • Maintain the in-country accounts in all currencies
  • Maintain cheque outward register with all details cheque number, payee’s name, cheque amount, brief details about payment.
  • Prepare weekly / monthly bank reconciliations for every bank account in all currencies
  • Record all transfers and also petty cash reconciliations
  • Check and verify purchase invoices and ensure that all bills along with the proper supporting documents are in
  • Maintain the purchase ledger, ensuring supplier credits are applied or refunds requested, and the balance agrees to the general ledger
  • Perform balance sheet accounts reconciliation
  • Advise on the correct use of account codes across all programmes and donors
  • Oversee the work of the Finance Officer to:
    • process invoices, petty cash, expense claims in NetSuite and filing
    • maintain a cash register with evidenced entries and tally the closing balances by denomination on a weekly basis
    • Prepare supplier payments, and ensure regular communications with each supplier (and obtain monthly suppliers’ statement of accounts and reconcile suppliers statement)

Reporting & Audits

  • Prepare ad-hoc reports on restricted expenditure and costs by department as requested by members of SMT / Head of Finance
  • Work with external auditors to produce annual accounts for the organisation’s
  • Maintain the fixed asset register in accordance with accounting policies

Payroll

  • Prepare the monthly payroll, ensuring correct treatment of joiners and leavers
  • Ensure that all monthly contributions are adhered to (PAYE, SDL, WCF, pensions), as well as medical coverage, and that statements / paperwork are well maintained
  • Monitor staff pension schemes, ensuring joiners and leavers are appropriately advised
  • Prepare ad-hoc payroll and pension reports as requested by the Director of Operations, Country Director and/or Head of Finance

Other

  • Ensure that all financial systems are being implemented to the highest standard
  • Take part in monthly SMT meetings / weekly staff meetings
  • Perform other duties as requested by the Director of Operations, Country Director or Director of Finance
  • Liaise with finance team at HO and provide monthly information - staff salaries, finance control spreadsheet and monthly petty cash reconciliation - meeting monthly finance reporting deadlines
  • Ensure that all the information is accurate and completed

Experience Requirements

Essential

  • A recognised accountancy qualification
  • Education to degree level
  • Intermediate to advanced Excel skills
  • Experience of staff supervision and time management
  • Demonstrable experience of reporting to deadlines
  • At least 3 years’ experience of working in the development sector, with experience of preparing financial reports for donors
  • Commitment to the aims, objectives and values of the organisation
  • Fluent in English and Swahili both verbal and written

Desirable

  • Partnering of non-financial colleagues
  • Experience of tax reporting
  • Exposure to foreign currency management and reporting
  • Project management experience
  • An understanding of NGO law and accounting, possibly obtained through voluntary work or audit experience
